Below you will find important administrative information regarding your time in UCA Accommodation.

  • Payment of Residence Fees

    We no longer take payments via the Recurring Card Payment system (RCP).

    You will receive a Payment Reminder email from noreply@uca.ac.uk, with a Pay Now link to UCA’s Convera payment when your first term's rent becomes due (see example below). 

    Please note:

    1. Any card details that you previously registered will not be accessed by UCA for rent
    2. You need to pay by pressing the Pay Now button.  

    You can safely press the Pay Now button to pay for your accommodation. It is not a scam.

    If you have any issues or concerns, then please visit the Accommodation Office to discuss in person or email Finance.SL@uca.ac.uk.

    Your Residence Fees must be paid either annually or termly. You can’t pay your residence fees weekly or monthly. Please contact us if you are unable to pay by the due date(s). You may incur late payment charges if your Residence Fees are not paid on time. Financial/debt management advice is available from Campus Life.

  • Overnight guests

    An occasional overnight guest is allowed for a maximum of two consecutive nights but not on a regular basis and at our discretion. The guest and/or host resident must not sleep in any of the communal areas. The host resident will be held responsible for the conduct of their guests.

  • Changing rooms

    You may only change rooms if there is a vacant room available and with our prior approval – this will only be granted in exceptional circumstances. A cleaning charge must be paid prior to moving rooms. Any difference in Residence Fees must also be paid before moving to a new room.

  • Staying in University Accommodation at Christmas and Easter

    Your Accommodation Agreement runs continuously until the end of the Period of Residence. This means you are entitled to stay in your accommodation during the Christmas and Easter breaks. If you are leaving your accommodation for any length of time you don’t have to hand in your keys but please ensure you lock your bedroom door and inform the Accommodation Office.

  • Vacating University Accommodation

    It is not possible to continue living in UCA accommodation once your Period of Residence has come to an end. The end of agreement date was given in your Room Offer letter. Should you wish to review your Room Offer, simply log back into the online accommodation system to re-read the document. Your Period of Residence may differ depending on which course you are studying. Please do not make any arrangements to move out after this date.

    It is only possible to terminate your Accommodation Agreement earlier than the end date in exceptional circumstances, for example if you withdraw from the University or can find a suitable replacement. If you are considering this, please speak to Accommodation staff, who will advise you.

    At the end of the Period of Residence your bedroom should be locked, and your keys returned to the Accommodation Office. Don’t give your keys to anyone else to hand in and don’t leave them in your room.

  • Residents’ Committee

    Each year we aim to establish a Residents’ Committee where Wardens, Accommodation staff and representatives meet once a term to discuss issues relating to accommodation. If you are interested in representing your fellow residents and sitting on this committee, please let us know.

  • Need a letter to confirm your status?
    • Go to myUCA
    • Click on myRecords, then Student Home (this will only appear if you’re fully enrolled)
    • Student Requests:
      • Request a Council Tax letter
      • Request a bank letter
      • Request an address letter

    You can then collect your letter from Campus Life. It takes around 48 hours to produce.

  • Complaints procedure

    We welcome constructive comments from you. We will try to solve problems through informal communications between us and through student participation in University forums and committees.

    We will try and deliver a good service to you. If, for any reason, you feel that you aren’t getting a good service from us please follow this process:

    1. Come into the Accommodation Office and raise the problem with the person concerned or an appropriate person at the earliest opportunity. Complaints dealt with informally at an early stage have the best chance of being resolved effectively
    2. If this doesn’t resolve your complaint, then please put your complaint in writing giving as much detail as possible and hand it in to the Accommodation Office. Your complaint will be dealt with informally and a written response will be sent to you within 10 working days
    3. If you have a problem or concern of a more serious and/or persistent nature or the above process doesn’t resolve the problem, you have the option of making a formal complaint through the Student Complaints Procedure.

    The University has signed up to the Universities UK (UUK) Code of Practice for the Management of Student Accommodation. This Code of Practice sets certain standards for student owned or leased accommodation managed by an institution signed up to the Code.

    Complaints regarding non-compliance of this Code should be raised following the procedures above.

    If you believe that you have a complaint regarding a member of the Accommodation staff, you should put this in writing giving as much information as possible. You can either hand this into the Accommodation Office or take it to Campus Life or the Students’ Union.

    If you have a complaint about the behaviour of another student or students, please come into the Accommodation Office and let us know as soon as possible. Complaints relating to other students will be dealt with through the Terms & Conditions of Residence and/or the Student Disciplinary Procedures and not through the Student Complaints Procedure.

  • Data protection

    Please be aware that the information we hold about you is covered by the Data Protection Act. This means that we are only able to discuss matters relating to your accommodation with you and other members of University staff. If you wish us to discuss details with any third party, for example with your parents, or a private landlord, we will require your written permission before we can do this.
