On arrival

You need to complete and return the forms listed below to the Accommodation Office within 48 hours. 

  • Room inventory: This is a list detailing the current state of your accommodation. You will be sent an email when you arrive asking you to log in to the Accommodation Portal and confirm you are happy with the condition stated and submit the inventory. If you do not do this before the deadline the inventory will automatically submit itself, so if there is any damage not stated you may be liable for the charge at the end of the contract.
  • Personal electronic equipment list: This explains what electrical equipment can be used in the flat. Please check that your electronic equipment meets the criteria and list your equipment (for example, laptops, phone chargers, hair dryers etc). 

You will also need to ensure you have adequate insurance cover (see the Your Summary of Cover document) and contact Howden direct should you wish to 'top-up' your cover.

Essential information

  • Keys
    • You have been issued with a fob/key; this will open the outside door to your accommodation and your bedroom. They will not allow you access to anyone else's bedroom or flat/house
    • You are responsible for the safe keeping of your fob/key until your Residential Agreement has come to an end
    • Remember to take your keys with you everywhere as your bedroom and/or your front door may automatically shut behind you even if you are only in the kitchen of your own flat. DO NOT prop open any door for ease of access as they are fire doors, and it is illegal to prop them open
    • Remember to lock your bedroom door when you are not in the house and for safety reasons you may consider locking your bedroom door when you are in your room and elsewhere in the house
    • Please do not remove the identity disk from the fob/key; this needs to be attached to your fob/key when you hand it back or you will be charged for a replacement
    • Accommodation fobs/keys are issued to the University under a special licence. You will not be able to get them copied anywhere. The University has to order them specially - this is for security reasons
    • If you lose your fob/key or it is stolen, you must report this immediately to the Accommodation Office or the Porter’s Lodge (Farnham only). You will be issued with a new entrance fob/key and and everyone else in your flat/house may be issued with a new front door key. This minimises the risk of a breach of security. You will have to pay for the new fob/key before they are issued to you
    • For security reasons the University does not have a spare fob/key for your room/flat. However, our staff (Facilities Assistants/Security) who carry a master key will give you access to your accommodation in the event that you have lost/misplaced your fob/key or if it has been stolen. This will be done on production of your student ID card which will be checked against the latest residents list. This arrangement is only temporary as it is inconvenient for you and members of staff and disruptive for the rest of the residents in your house. If temporary access has been given out of hours, you must then report to the Accommodation Office to be issued with a replacement set
    • Please do not give your fob/key to anyone for any reason. You must not allow anyone else to live in your room whilst you are not there
    • Remember to lock your bedroom door when you are not in the flat and for safety reasons you may consider locking your bedroom door when you are in your room and elsewhere in the house
    • Ensure that the front door and patio doors (if applicable) are locked at all times.
  • Inventory

    You have 1 week following your arrival to complete your inventory. It is a list of items provided in your accommodation, and it details their condition when inspected prior to you moving in.

    You will be sent an email when you arrive asking you to log into the Accommodation Portal and confirm you are happy with the condition stated. If you do not do this within the first 7 days the inventory will automatically submit itself, so if there is any damage not stated you may be liable for the charge at the end of your contract. It is in your own interest to check each item listed on the inventory carefully and if you notice anything that is not included on the inventory, please make a comment in the appropriate column. When you have done this for your bedroom and the communal areas (kitchen, toilets, showers, hall, stairs, and landings), please submit your inventory. Remember to check all the stated furniture has been provided.

    Equipment provided in your accommodation

    Please take care of the equipment and furniture we have provided in your accommodation. If anything doesn’t work, is broken or is missing, or if there is something that doesn’t seem right, please report it to us as soon as possible. We will investigate the problem and deal with it or pass it to the appropriate department.

    Portable heaters and similar heating devices, deep fat fryers and other cooking equipment are not permitted in the accommodation. No kitchen equipment is permitted in your bedroom.

  • Personal electrical equipment list

    Please list all electrical items that you are bringing into halls of residence on your personal electrical equipment list and return your completed form to the Accommodation Office when you collect your keys.

    It is a health and safety requirement that all electrical equipment used in the University is safe. All electrical equipment provided by the University in your accommodation is tested and certificated annually by a competent person.

    Student equipment must conform to current British and EU standards and must be safe to use. Every electrical item that you bring into university accommodation must bear a UKCA Mark or CE Mark.

    We strongly encourage you to get your personal electrical equipment tested before you arrive at University. It is not a legal requirement and you are not obligated to do so however any student equipment that does not appear to meet EU standards or which appears to be unsafe cannot be used and the University reserves the right to ban use, confiscate the equipment or insist on a Portal Appliance Test at the students’ expense.

    Weekly health and safety checks are carried out in every flat and if any equipment is deemed unsafe after an initial visual check it will be removed from the flat.
